A schedule is not the record of work

A schedule explains when work was expected. A time record explains the work that was recorded. A payroll input translates approved information into a pay calculation. Comparing only the first and last can conceal the step where an error entered the process. Keep those three concepts distinct even if a single application displays all of them.

The federal Department of Labor describes required wage-and-hour records and allows employers to choose an appropriate timekeeping method. The practical point is accuracy, not a particular button or clock brand. State requirements and the worker’s circumstances may add obligations. Our method helps organize a review; it does not determine whether a specific payroll complies with every applicable rule.

Review exceptions before totals

Look for incomplete entries, duplicate shifts, unusual durations, missing approvals and changes near a cutoff. Ask the person with direct knowledge to resolve the facts through the authorized process. Preserve the reason for an edit. A manager’s desire to match a labor budget is not evidence that recorded work did not occur.

A fictional employee is scheduled for four six-hour shifts. The record shows 6, 6, 5 and 6 hours, for 23 hours total. The correct response is to investigate the third shift, not automatically replace 23 with the scheduled 24. Perhaps the worker left early; perhaps a record is missing. The arithmetic identifies the question, while the underlying evidence establishes the answer.

Check the workweek and the pay components

Two weeks presented on one pay statement still contain separate workweeks for many overtime questions. Do not assume a longer pay period allows hours to be averaged freely. When different rates, bonuses or other pay components are involved, a simple hours-times-rate calculation may not establish the required regular rate or overtime amount. Route the actual treatment to the payroll professional responsible for it.

Keep separate fields for hours worked, paid leave and other paid categories. They may all contribute to a statement total but need not have identical treatment. Use clear labels in the source record so the receiving payroll team does not have to infer whether “eight hours” means work performed, approved leave or a correction from a different period.

Close the loop on the correction

The reviewer should be able to trace a corrected payroll input back to the verified time record. Note which version was approved and whether the correction is included in the current run or handled separately. Employees should receive a useful explanation through a private workplace channel. A vague “it is fixed” leaves uncertainty about both the calculation and the payment.

For teams using Paper Trails, consult the employer’s enabled timekeeping configuration rather than assuming every self-service account has identical functions. The provider’s public materials explicitly note that some time features require the relevant module. Build the control around the evidence and the authorized handoff, so the process remains understandable when software screens change.
