Review the year while there is time to ask

Year-end preparation is more useful when it begins with unresolved records rather than a single deadline. Identify open payroll corrections, changes in employee information and unusual compensation components. Assign each issue to an authorized reviewer. Do not treat the current self-service display as proof that every historical period is correct.

The IRS describes Form W-2 as a record of income and taxes withheld and provides a route for missing or incorrect forms. That is different from a routine pay statement. Comparing a W-2 figure directly with the sum of bank deposits can be misleading because the figures may represent different concepts. A qualified payroll or tax professional should explain a specific discrepancy.

Build an exception list, not a second tax database

A useful review note identifies the employee through an approved internal reference, the category needing attention and the person responsible for resolving it. Keep tax identifiers and full forms in the authorized system. The note might say “year-to-date correction needs confirmation” without reproducing the sensitive numbers.

For a fictional worker whose legal name changed during the year, the task is to confirm the employer’s correct record through its secure process. For another worker with a prior-period adjustment, the task is to understand which records reflect that correction. These are different cases, even if both appear in the same year-end queue.

Use current-year instructions

Check the government’s current instructions for the applicable tax year and the employer’s communication plan. A date in last year’s webinar can be useful historical context without being the correct deadline this year. Paper Trails publishes year-end learning resources, but the contracted provider’s current instructions and official tax guidance are the appropriate references for an actual run.

If a form is missing or seems incorrect, the IRS directs workers to contact the employer first and provides further steps when the issue remains unresolved. Follow the current official instructions rather than uploading the form to an independent guide.
