Similar receipts can represent different payments

A receipt may show a gratuity line, a mandatory service charge or both. The labels and the underlying facts matter. The federal Department of Labor distinguishes voluntary tips from compulsory service charges; amounts distributed from a service charge do not become tips simply because employees receive them. State rules may provide additional protections. Do not infer the correct treatment from the register button alone.

Design an exception-friendly handoff

Keep separately labeled totals for the relevant categories and identify the business date and work period. Reconcile adjustments, voids or refunds using the employer’s approved process. Access to individual records should be limited to people who need it. A shift manager can often report a discrepancy without circulating a screenshot containing every worker’s amounts.

Imagine a fictional restaurant export containing $180 of voluntary card tips and a $60 compulsory service charge. The organization question is how each category reaches payroll and who verifies its treatment. Adding them into $240 without labels loses information. The arithmetic may be correct while the classification is not. Preserve the source distinction and document the approved mapping.

Pay attention to the broader calculation

The DOL explains that certain service-charge distributions are included in the regular rate for overtime purposes. That is one reason a tip-related issue cannot always be resolved by looking only at the cash paid at the end of a shift. A payroll professional needs the relevant workweek, compensation components and governing rules before making the calculation.
